Prospecting Funding

If you have a new project idea and would like assistance with exploring and securing funding, please reach out to our office to set up a meeting. We can assist with prospecting grants and identifying possible funders. In addition, our office will help determine the extent to which your project is a good fit with the funders’ objectives. Periodically, we will also contact specific individuals with opportunities that OSP sees as aligning with their research and/or our mission.

If you have already found an appropriate funding opportunity, complete the Intent to Submit form below and our office will follow-up with next steps. Please submit this form in the early stages of proposal preparation but no later than two months before the proposal’s due date.

  • The decision to apply for grant funding needs to be approved through this internal form prior to submission to the funder. 
  • This form is intended to assist you as you begin the proposal submission process and ensures that the project commits H-SC’s resources appropriately and represents H-SC well.
  • The form also ensures that the appropriate campus officials are aware of your proposal and have provided institutional approval.

Step 1. Schedule an appointment.

After our initial consultation, OSP will work with you to schedule regular one-on-one meetings to assist with your application through all stages of the proposal preparation and submission. This will include

  • the development of a project timeline
  • a detailed review of all application components, requirements, and deadlines
  • the development of a budget

Step 2. Intent to Submit Form

For this form, you will need to develop and gather

  • a project title and description
  • funding agency information, requirements, and deadlines
  • a budget, using the Grant Budget Template
  • information about your team of collaborators (if any)
  • Institutional Review Board documentation (if your research involves human subjects)

Step 3.  Proposal Transmittal Form

To ensure that all relevant parties on campus are aware of your proposal, you must submit a Proposal Transmittal Form.  It is encouraged to start this process no less than two weeks before the grant deadline. For this form you will need final versions of

  • your project title and description
  • your final budget
  • Routing Form
  • If the proposal includes federal funding, you will need a printout from the Excluded Parties List System that includes all the vendors named in the proposal. (This is a list of vendors who are prohibited from receiving federal funds or contracts.) Click here for federal guidelines.

With final approval and review of the Proposal Transmittal Form, we will help to compile and submit applications.

If you are awarded, we will work with you on post-award grant management. For those who are not successful, we will work through reviewer comments, if available, to help with resubmission or look at other funding sources.

Award Management

Along with our Controller and Assistant Controller, our office will assist with award administration and management. This includes being a point of contact for questions, extension requests, and updates.

Post-Award Reporting

Whether a grant is a few months or multi-year, we will help with all reporting requirements and submissions. We assist with deadline reminders and budget breakdowns to help summarize outcomes.

Co-Investigators/Co-Directors/Key Personnel Endorsement Form

All of the Co-Investigator (PI) or Co-Project Directors on the project must provide explicit endorsement of their participation. They will automatically be sent an email and the Endorsement Form following the submission of your Intent to Submit application asking them to confirm their endorsement.

Certification Signatures Form

Required for all grant proposals that include government funds, these certifications must be reviewed and signed by all Co-Principle Investigators (PI) or Co-Project Directors (PD). Following submission of the Proposal Transmittal Form, they will automatocally be sent an email requesting their signature.
